Embryologics is run by Medical Interventions Private Limited, Hyderabad, Telangana, India (“we”). This page covers embryologics.com and app.embryologics.com.

What we never collect

Patient data. Our tools and lab records ask for your own case codes, never names, IDs or dates of birth. Our forms ask patients not to send reports or personal medical details, and we don't interpret them if they do.

What we collect, and why

Your account: your email address, and the name, role, organisation and country you choose to add. If you sign in with Google or LinkedIn, they tell us your name and email. If you have not added a country, we fill it in from the country you sign in from; you can change it at any time.
What you do in your account: your lab's daily quality-control records, quiz scores, Academy exam results and certificates, and the payments you make. Card and bank details go to the payment provider, never to us.
Daily QC photos: if you photograph an instrument display to enter a reading, the photograph is stored privately in your lab's folder (Amazon Web Services, Mumbai, encrypted), shown only to your lab's members, and read by a language model (Google) to propose the number, which you confirm. Photograph the display only: these photos hold no patient data, and they are deleted with the lab.
Invoices: the billing name, address and country, and your GSTIN if you give one, printed on the tax invoice for each payment. Indian law requires us to keep invoices, with these details, for eight years.
Download forms: your email and, optionally, name, role, organisation and country, to send the file and, if you tick the box, occasional updates.
Contact form: what you write, so we can reply, and the page you wrote from.
Image submissions: the image, your name or credit, email, stage and grade, to review, feature and credit you. Featured images are re-encoded, which removes camera metadata; originals are kept privately.
The assistant on our pages: the question you type, to answer it. Please don't type anything personal or medical into it.
Technical records: a one-way hash of your IP address to limit abuse, and standard hosting logs.

Emails about Embryologics — only if you tick the box

When you create an account, and at any time in your account, you can tick “Email me the monthly quiz, lab guides and news from Embryologics.” It is unticked unless you tick it. We record when you ticked it and the words you saw.

Our emails are sent from our own marketing system, which is also run by Medical Interventions Private Limited, in a separate database. While the box is ticked, it receives:

your email address and an account number;
your role and country, if your profile has them;
the campaign tag of the link that brought you, and the page you signed up from;
quiz levels you clear (level, score, stars) and Academy levels you pass (level, score);
quiz challenges you send, and challenge results (score, rank, and the other player's name only if their profile is public), and the monthly quiz badges you earn;
for a lab you own: when its free period or subscription is about to end or has ended, when it can apply for accreditation, and when its accreditation year starts and how it ends (the lab's number and that state, nothing from its records).

It never receives your name, what you write to us, anything from your lab's records, payments, certificates, or anything about patients.

Untick the box in your account, or ask us to delete your account, and your address is deleted from the marketing system. Every email also carries an unsubscribe link.

If you write to us through the contact form about accreditation, the Academy or a lab assessment, the marketing system receives your email, the topic and who you said you are (patient, embryologist, clinic or other), so that the enquiry is followed up. Never the text of your message.

If you send an image to the atlas, the marketing system is told when it is received, accepted and chosen as Image of the Month: the image's stage, day and grades, its page address once published, the name you asked to be credited with, and whether you ticked “You may feature this image and my name in Embryologics posts”. It receives your email address only if you have an Embryologics account under that address and the box above is ticked. Without the second tick, your image and your name are never posted on social media.

If the assistant on our pages cannot answer a question, or you ask it about accreditation, an assessment, prices, a refund or your account, and you press Send, the question, the page you were on and an email address you give are passed to Medical Interventions' help inbox (run by AutoDigi, stored with Supabase in Mumbai, India) so that a person can reply.

Who handles your data for us

We don't sell your details. We share them only with these providers, and only so they can run the service for us:

Supabase — our databases. Embryologics data is stored in Mumbai, India.
Amazon Web Services — encrypted nightly backups, and your lab's documents and Daily QC photos, stored in Mumbai, India.
Vercel — website hosting. Pages are built in Mumbai and delivered worldwide.
Google — sign-in with Google, and the language model that answers the assistant on our pages and reads the number from Daily QC photos.
LinkedIn — sign-in with LinkedIn.
Razorpay (payments in India) and PayPal (payments elsewhere).
Hostinger — our mail server, for receipts, results, certificates and replies.
Resend — delivers our marketing emails. Outside India.
Meta — if you message us on WhatsApp. Outside India.

Cookies

None for advertising or tracking across sites. The app sets the cookies it needs to keep you signed in; a cookie that remembers the campaign tag of the link you arrived by, for 30 days; and, for half an hour while you sign in with Google or LinkedIn, whether you ticked the email box.

How long we keep it

Your account and what you do in it are kept while the account is open. A lab's record is kept while the lab exists, including when it is read-only, because it belongs to the lab and not to one person. When you ask us to delete your account, we delete or anonymise your details, except what the law makes us keep: tax invoices and payment records, for eight years.

Your rights in India

Under India's Digital Personal Data Protection Act, 2023 you can ask to see, correct or delete what we hold about you, withdraw consent, or raise a grievance. Email contact@embryologics.com and we will reply within 30 days.

If you are in the EU or the UK

The GDPR and the UK GDPR give you these protections as well. Medical Interventions Private Limited, Hyderabad, Telangana, India, is the controller of your personal data.

Why we are allowed to use it (the lawful basis):

To provide what you signed up for or bought (contract): your account, your lab's records, the quiz, Academy exams, certificates, payments and the emails that go with them.
Because you agreed (consent): marketing emails, only while the box is ticked. You can withdraw at any time, and withdrawing does not affect what was sent before.
Our legitimate interests: security and abuse logs such as the hashed IP address, keeping exams and certificates honest, and replying to messages you send us.
The law (legal obligation): tax invoices and payment records, kept for eight years.

Your rights: to see a copy of your data, to correct it, to have it deleted, to restrict or object to how we use it, to receive it in a portable form, and to withdraw consent. Write to contact@embryologics.com and we will reply within one month. You can also complain to your data protection authority; in the UK that is the Information Commissioner's Office.

Transfers outside the EU and the UK. Your data is stored in India, in Supabase's Mumbai region, with backups in Mumbai, and is handled by the providers listed above, some of them outside India. India does not have an adequacy decision from the EU or the UK. We use each provider under its data processing terms, and we share only what each needs to do its job for us.
